Gloucester Business Improvement District (BID) is seeking a highly motivated and organised Event Lead to join our team. The Event Lead will be responsible for planning, developing, organising, and executing a wide range of events. BID events will range from ‘pop-up’ events to larger, city-wide events working with partners.
Our aim is for our events to increase footfall and dwell time and to animate the city, whilst growing residents’ and businesses’ Pride in the City. The successful candidate must have excellent interpersonal skills, exceptional attention to detail, and the ability to handle multiple projects simultaneously. This is a dynamic role, requiring flexibility and adaptability.
We are looking to find someone that can work with us 8 hours a week, with additional hours covered when events are on. The role is suitable for a freelance/self-employed candidate. It is a fixed term role for three years. Hours can be flexible, and the fee will be competitive.
Event Lead Responsibilities:
- Plan and coordinate all aspects of events, including budgeting, venue selection, logistics, catering, audio visual equipment, and transportation.
- Develop event concepts, themes, and timelines in collaboration with stakeholders.
- Negotiate contracts with vendors, suppliers, and service providers to ensure cost-effective and high-quality event delivery.
- Manage event budgets, tracking expenses, and making recommendations for cost savings without compromising quality.
- Coordinate with our teams, such as marketing, to ensure proper promotion of events.
- Oversee event setup and takedown, ensuring that all materials, equipment, and signage are properly installed and removed.
- Work closely with event staff, including volunteers and contractors, to ensure smooth execution of events.
- Monitor and evaluate event performance, collecting feedback from attendees and stakeholders, and making recommendations for future improvements.
- Stay up to date with industry trends and best practices in event planning and management.
- Ensure compliance with all legal, health, and safety obligations during events.
Required Skills:
- Strong organisational and project management skills with the ability to multitask and prioritise effectively.
- Excellent interpersonal and communication skills, both written and verbal, with the ability to build and maintain relationships with clients, vendors, and team members.
- Attention to detail and the ability to ensure accuracy in all aspects of event planning and execution.
- Creative problem-solving skills and the ability to think on your feet to resolve issues that arise during events.
- Proficiency in event management software and tools, as well as Microsoft Office Suite.
- Strong negotiation and contract management skills to secure cost-effective and high-quality services.
- Ability to work under pressure and meet tight deadlines without compromising quality.
- Flexibility and adaptability to handle changes in event plans and requirements.
- Strong budgeting and financial management skills, with the ability to develop and maintain event budgets.
- Leadership skills to effectively manage event volunteers and ensure smooth operation of events.
- Knowledge of funding application processes, such as Arts Council or National Lottery Community Funds.
Required Qualifications:
- Bachelor’s degree in event management, hospitality, marketing, or a related field (or equivalent experience).
- Proven experience in planning and organizing successful public events.
- Knowledge of event planning best practices and industry trends.
- Familiarity with event management software and tools.
- Strong portfolio of past events and positive testimonials from clients or stakeholders.
- Ability to work flexible hours, including nights and weekends, as necessary.
- Knowledge of legal and health and safety requirements for events.
- Professional certifications in event management or related fields are preferred but not required.
